Microsoft 365

Microsoft 365, configured the way it was meant to be.

Microsoft 365 does far more than email. We migrate you onto it properly, license you for what you actually use, and switch on the security features already included in the plan you pay for.

The common picture

Email moved to the cloud. Nothing else did.

The typical tenant we inherit was set up years ago to get email working and never revisited.

What we usually find

Set up once, never reviewed.

  • Licences still assigned to people who left
  • Business Premium paid for, its security features switched off
  • Files split between a server, OneDrive and someone’s desktop
  • No backup, because “it’s in the cloud”
  • Legacy sign-in still enabled, bypassing MFA

After we’ve been through it

Configured, licensed and documented.

  • Licences matched to roles and reviewed every quarter
  • Conditional access, MFA and separate admin accounts
  • Files in SharePoint with permissions you can explain
  • Independent backup of mail, files and Teams
  • Devices enrolled, encrypted and remotely wipeable
What we do

The whole Microsoft stack, handled.

  • Migration

From on-premise Exchange, Google Workspace or another tenant. Mail, calendars, contacts and files moved with no working-hours downtime.

  • Licensing

Bought through us as a Microsoft partner, monthly or annual, with a quarterly review that removes what you don’t use.

  • Identity and Entra ID

Single sign-on, multi-factor, conditional access and properly separated admin accounts.

  • Intune and Autopilot

Devices enrolled, encrypted and policy-managed. A new laptop configures itself when the user first signs in.

  • SharePoint and OneDrive

File servers retired, a structure built around how your teams work, and permissions an auditor can follow.

  • Teams

Meetings, chat and calling, with the option to route calls through our own phone platform.

  • Security standards

One hardened baseline applied and monitored across every tenant we manage, so drift gets spotted and corrected.

  • Exchange Online

Mailboxes, shared mailboxes, distribution lists, signatures and mail flow rules looked after properly.

Migration

How a migration actually runs.

Prepare thoroughly, cut over out of hours, and be there the morning after. We have moved businesses off Google Workspace, ageing Exchange servers and between tenants after acquisitions.

  1. Discovery and design

Mailboxes, shared mailboxes, file shares, permissions and the integrations that will bite later.

    Weeks 1 to 2
  2. Build and pre-stage

Tenant built and hardened, data copied in the background while everyone carries on.

    Weeks 2 to 3
  3. Cutover

Final sync and DNS change on a Friday evening or weekend. The old system stays readable as a fallback.

    Cutover weekend
  4. Floorwalk

An engineer with you on the first morning back, because the questions always come in the first two hours.

Illustration of a typical first tenant review.

“As an SME having employees globally we needed a practical solution to sharing files securely across our PC’s and Mac’s. Having worked with Matt and Nick for many years they recommended their Octocloud solution. It meant we could decommission our Windows server and the overheads that it brought, and have a totally managed solution securely hosted in the cloud. Their approach was extremely professional and painless – they managed the whole process from start to finish. I would recommend Octotech to any business looking for a one-stop IT support company.”

Common questions

Questions we get asked

What does a Microsoft 365 partner do?

A Microsoft partner such as Octotech supplies Microsoft 365 licences and handles everything around them: migration, setup, security configuration, device management, user changes and day-to-day support. Our Microsoft 365 Ultimate bundle adds 24/7 detection, email security, backup and training to the licence.

Do we really need a separate backup?

Yes. Microsoft protect the platform, not your data. Retention settings help with short-term accidents but won’t survive a deliberate deletion, ransomware or a mailbox purged months ago. Our backup guide explains the gaps.

Which licence do we need?

For most businesses under 300 people, Business Premium is the sweet spot because it includes the device management and security features that would otherwise be bought separately. We map it against what you actually do rather than selling the top tier by default.

Can you move us from Google Workspace?

Yes, it is a common migration for us. Mail, calendars, contacts and Drive content move across, shared drives map to SharePoint, and both run side by side until cutover.

How much downtime is there?

None during working hours. Cutover happens on a Friday evening or weekend.

Can you take over the tenant we already have?

Usually, yes. We review the configuration against our baseline and give you a report of what we would change and in what order, before touching anything.

Get more out of the licences you already pay for.

We will review your tenant and show you what you pay for but don’t use, and what is currently left open.
